Position: Administrative and project coordinator 

Location: Hybrid at Montréal-based office (2-3 days in office) 

Hours of work: Full time (40 hours per week) 

Type: One year contract (to start) 

Start date: April 2025 

Reporting: Reports to the Director of Operations and Human Resources and to the Finance Manager 

Salary range: $40,000–$55,000 (based on a 40h week)

Role Description

An administrative and project coordinator role involves supporting project leads and teams by handling administrative tasks, organizing projects, and ensuring smooth operations, often acting as a liaison between team members and management. 

 An administrative and project coordinator supports project execution by organizing resources, schedules, and communications, ensuring projects stay on track and within budget, while also managing administrative tasks and reporting progress. 

This is a full-time, salaried position, initially based on a one-year contract. DAWN Canada offers generous vacation allowance and a flexible work environment. DAWN Canada offers dental and medical benefits after three (3) months of continuous work. 

Key Responsibilities 

General Administration duties 

  • Support the day-to-day work of the management team by assisting with scheduling, coordination of meetings, notetaking, managing contacts, drafting and sending correspondences and other tasks as assigned. 
  • Responsible for timely production of reports for external government agencies. This includes the annual renewal of insurance policy and annual declarations with Corporations Canada & Registre des enterprises. 
  • Responsible for the management of the contact management system (CMS) 
  • Communicate with external suppliers for goods and services including ordering cheques, ASL/LSQ/CART, translators, catering, audio-visual equipment, event/conference venue booking, transportation, office supplies/equipment/furniture, etc. 
  • Responsible for all travel, hotel and meeting accommodations  
  • Responsible for supporting the organization of staff and external meetings and events including the creation of work-plans and agendas, notetaking, creating polls/surveys, connecting with guests/participants, accessibility accommodations, distributing meeting materials and working closely with leading departments. 
  • Other administrative support as needed. 

 

Project Coordination duties:  

  • Support the project plans, ensuring clear objectives, timelines, and deliverable with the project lead.   
  • Ensure compliance with grant requirements, organizational policies, and ethical guidelines. 
  • Coordinate cross-functional collaboration to achieve goals effectively. 
  • Support the project lead with project budgets, track expenditures, and ensure financial accountability. 
  • Monitor expenditures and submit expenses to finance 
  • Maintain organized documentation of project activities, reports, financial records, and stakeholder communications. 
  • Support the development of accessible and inclusive resources for project participants. 

Finance  

  • Provide support to the Finance Department as needed  
  • Invoice follow up with contractors and suppliers 
  • Honorarium follow up with project participants 

Required knowledge and skills  

  • Bachelor's Degree: Business Administration, Project Management, or a related field 
  • Minimum 3-5 years of administrative and/or project experience 
  • Bilingualism (spoken English and French) is strongly preferred  
  • Proficient with Microsoft Office, Office 365 and ability to quickly learn other software and programs  
  • Good communications skills and email etiquette  
  • Ability to work independently and collaborate effectively within a small team. 
  • Ability to multi-task, handle multiple projects and tasks simultaneously 
  • Ability to adjust to changing priorities and productive under pressure 
  • Attention to detail 
  • Ability to analyze situations, identify problems, and develop effective solutions. 
  • Demonstrated ability to think creatively and strategically to overcome challenges. 

Assets 

  • Knowledge in project management software 
  • Knowledge of feminism and human rights.  
  • In-depth knowledge or lived experience of disability or disability justice.
